CHECKING IN: Check in at the Gift Shop Front Desk. PLEASE DO NOT PARK BY YOUR UNIT BEFORE CHECKING IN (exception being late check-ins). If you arrive AFTER our Gift Shop is closed, we will leave your CHECK-IN INSTRUCTIONS in the BLACK METAL MAILBOX (to the left side of the door) that says “LATE GUEST CHECK-IN”.
CHECKING OUT (IMPORTANT): Check out is at 11:00 am. Please LOCK YOUR UNIT'S DOOR and RETURN ALL KEYS to the Gift Shop Front Desk. If you leave before the Gift Shop opens, please leave the keys in the GRAY LOCK BOX located outside of the Gift Shop door. Once you have checked out you may not return to the unit. Vehicles must vacate assigned parking spaces once checked out. There is a fine between $50-$200 for checking out late (anytime after 11am).
RATE GUARANTEE: Your rate is guaranteed upon making a reservation. However, in the event of moving the check-in date or cancellation/rebooking, rates will convert to their current amount.
NOTICE: Travel Insurance Recommendation It is HIGHLY RECOMMENDED that for 2-night stays or more that you apply for travel insurance. Santa Rita Lodge no longer offers travel protection. It is the responsibility of the guest reserving to purchase their own travel insurance.
DEPOSIT INFO
Reservations made 14 days or less before arrival date: The reservation is paid in full. For 2+ night stays: The deposit is considered 50% of the total reservation cost. (The deposit is non-refundable, see CANCELLATION POLICY)
Reservations made 15 days or more before arrival date: 50% of the total reservation cost is collected. The remaining balance is collected 14 days prior to arrival.(The deposit is non-refundable, see CANCELLATION POLICY)
COLLECTION OF REMAINING BALANCE DUE: 14 DAYS prior to your reservation arrival date, the remaining balance due will be charged to the credit card on file used to book the reservation. If you wish to change the card, please call or email us before the final payment is due. If your card has been lost, stolen or replaced, please call or email us to add a new card to the reservation.
If your reservation is made more than 3 and a half months from the check-in date, your card is automatically removed from guest records - a staff member may call to collect a new card, or will request a new card upon check-in. A valid card MUST be on file in order to stay at Santa Rita Lodge.
POLICIES
NO-SMOKING POLICY: Smoking is NOT ALLOWED ON PROPERTY or in the rooms - no exceptions. This includes tobacco products, recreational/illegal smoking substances and marijuana. The Lodge operates on Federal Lands and abides by Federal Laws. A minimum fine of $250 will be charged to the credit card on file if smoking or evidence of smoking or illedgal drug use is present in rooms or on property.
EXTRA/UNREGISTERED GUESTS and CHILDREN: All guests sleeping/using the room MUST be included in the reservation. Only REGISTERED guests may enter the rooms and Cabin/Casita areas. Unregistered guests and pets are not allowed in the rooms or Cabin/Casita areas.
CHILDREN: Infants and children are considered guests and children 17 years old and under MUST be accompanied by at least 1 adult per room. Children 11 years or older are considered "adult-sized" and thus considered an "adult" guest for occupancy records. Each unit has an occupancy limit that cannot be altered - no extra cots, air mattresses, sleeping bags etc.
Please call or email to confirm any and all unregistered guests and ADA certified service animals. You are welcome to visit with friends/family/pets in the public viewing area of the Lodge property, or elsewhere in the Canyon. Picnics with unregistered guests and/or pets are strictly OFF property.
PETS: The Lodge cannot accommodate ANY pets, only ADA(American Disabilities Act) registered service animals. Documentation of the service provided by the service animal will be required before or upon check-in. ESA/Emotional Support Animals are not accepted and do not qualify as service animals. Pets CANNOT stay in the vehicle, no exceptions. This NO PET policy is due to the high cost of Pet Insurance for small businesses. Thank you for understanding.
CANCELLATION POLICY: In the event you need to cancel your reservation, please know that the deposit is NON-REFUNDABLE. You have the option to convert your deposit into a credit voucher if you cancel 14 days or more before your arrival date, or you may move your reservation to a new date. Moving a reservation within 14 days of the original arrival dates will result in retention of 25% of the deposit. Within 14 days of your reserved arrival date, the deposit can no longer be converted into a voucher(see DEPOSIT INFO above). Due to this strict policy, the Lodge recommends opting for your own TRAVEL INSURANCE. In the event of a sudden illness that inhibits travel, a major injury, a recent/immediate passing(death), or immediate travel issue due to weather or delay, we will pass this case to the manager for consideration of a voucher.
CREDIT VOUCHERS: The Lodge offers credit vouchers in the event of a cancellation. Deposits can be converted into credit vouchers to be used within 3 years of the voucher creation date.
MAKING CHANGES TO RESERVATIONS: Changes to reservations may be made up to 14 DAYS PRIOR TO CHECK-IN DATE without the Lodge retaining the deposit. The DEPOSIT is still NON-REFUNDABLE however, we do offer CREDIT VOUCHERS (valid up to 3 years after creation date) if the reservation needs to be changed to a later date. Moving your reservation date is an option, however, if you apply to move your reservation date within 14 days of the original reservation, 25% of the deposit will be retained (in most cases). Each case is unique and is brought to management attention.
DISCOUNTS: All ACTIVE Military, Emergency Services and Law Enforcement Officers receive a 10% discount. There are no discounts for AAA, senior citizens etc. For multiple night discounts, see out new PROMOS page.
OCCUPANCY LIMITATIONS: Each UNIT has a MAXIMUM OCCUPANCY LIMIT. Extra guests: All guests, including children and infants sleeping/using the room MUST be included in the reservation. Extra pillows and linens are in closets or storage shelves. NO COTS, blow up beds, sleeping bags etc allowed.
Each unit has an occupancy limit which is listed for each room under MAXIMUM OCCUPANCY CONFIGURATIONS. Please call, text or email for questions.
CHILDREN: Infants and children are considered guests and children 17 years old and under MUST be accompanied by at least 1 adult per room.
DAMAGES and FINES: For your safety and Lodge staff safety, please inform the Lodge staff of any and all damages as soon as they occur. Broken dishes aren't usually fined. Any non-compliance to the POLICIES results in a FINE of anywhere between $50-$500. There are FINES for missing and/or damaged property, including plumbing, and for BIO HAZARD and EXCESSIVE CLEANING. Notice: In the event of a fine being applied, there is no reimbursement for reservation payments, regardless of arrival and departure date.
ACCOMMODATIONS
CELLPHONE/INTERNET/WI-FI: Cellphone coverage is very poor in Madera Canyon. There are no regularily accessible landlines. The Gift Shop/Office has a landline during OPEN hours. Better cellphone signals can be obtained at the top parking lot of Madera Canyon, approximately 1/3 miles up the road from the Lodge. Or, a reliable signal can be obtained going back down the mountain, past the three 1-lane bridges.
WI-FI: Lodge wifi was upgraded in December 2023 and is AVAILABLE IN ALL ROOMS. It is mostly reliable and able to stream music and videos. It is not recommended to attempt doing major outside work over Santa Rita Lodge wifi, as we cannot guarantee 100% connection and service. Thank you for understanding.
FOOD, RESTAURANTS and GROCERY STORES: The Gift Shop sells SNACKS ONLY and has a CAFE, open same times as the Gift Shop. Cafe sells coffee and pastries. We do NOT sell firewood, matches, charcoal or basic food supplies(milk, butter, salt, pepper etc.)
There are NO RESTAURANTS, GAS STATIONS or CONVENIENCE STORES located within Madera Canyon. All restaurants and grocery stores are located in Green Valley and Sahuarita. The REGULAR UNITS are outfitted with KITCHENETTES- dorm sized refrigerator with a small freezer, two-plated hot plate, microwave, coffeemaker (with coffee packets), toaster, dishes and utensils. The DELUXE UNITS have FULL KITCHEN items such as a normal sized refrigerator and stove. MINI WEBER GRILLS are available, charcoal only (please supply charcoal etc.) Fire restrictions may impede the use of grills.
TELEVISION: There is a Roku TV in each unit. There is no DVD or Blu Ray player. Roku TVs have HDMI and USB ports. Enter check-out date and once you are in the "Home Page" you are able to log into your own streaming accounts (Hulu, Netflix, Prime etc). The TV will automatically log out of anything you may have signed into on the date of check-out selected by you.
OFF SITE MADERA CANYON FOREST PARKING FEES: If you plan to park off site in the parking areas around the canyon, there is a Forest Service Fee of $8/daily and $10/weekly which allows parking outside of the lodge grounds. Parking payment envelopes are located at each of the canyon’s trailhead parking areas. Park facilities honor the Golden Eagle Passport, Golden Age Passport, and Golden Access Passport. We ONLY sell the CORONADO NATIONAL FOREST RECREATIONAL ANNUAL PARKING PASSES in the gift shop for $40.
On-Site ELECTRIC VEHICLE PARKING FEES: The Lodge has very limited electrical capabilities and cannot accommodate charging most electric or hybrid vehicles. The property does not have charging stations and only 1 room has charging capabilities. Please call or email us with details of your vehicles charging needs. There is a $20 nightly fee for charging the vehicle.
